What it costs

What does CRM setup cost?

CRM work is from $500 per month, separate from whatever the platform itself charges. The platform licence is the small number; configuring it around how you actually sell — pipeline stages, lead routing, automated follow-up, reporting — is the work that determines whether anyone uses it.

The licence is not the cost

A CRM subscription is usually modest per user per month. That number is not what makes CRM projects succeed or fail.

An unconfigured CRM is a spreadsheet with worse ergonomics. The cost that matters is the work of shaping it to your business: what the stages are, who gets which lead, what happens automatically when a form is submitted, what a manager needs to see on Monday morning.

What the setup actually involves

  • Pipeline design — the stages your deals genuinely move through, not a vendor default.
  • Lead capture from every source: website forms, phone calls, chat, paid campaigns, walk-ins.
  • Routing and speed to lead, so a new enquiry reaches a human within minutes rather than sitting in a queue.
  • Follow-up automation, which is where most of the recovered revenue is — the leads that would otherwise be forgotten.
  • Reporting that answers real questions: where leads come from, where they stall, what closes.
  • Migrating existing contacts without importing years of duplicates.

Where the return actually comes from

Rarely from better organisation. Almost always from two things: responding faster, and following up more than once.

Most small businesses contact a new lead once. The revenue in a CRM is largely in the automated second, third and fourth touches that nobody has time to send manually, and in cutting response time from hours to minutes.

If a CRM project does not change those two behaviours, it has bought you a tidier database and no more revenue.

How Revio prices it

From $500 per month, covering configuration, automation, integrations and ongoing changes as the business shifts. We work with GoHighLevel, Zapier, Salesforce and Slack pipelines.

The account is registered to your business. Your customer data is the most valuable asset in this entire stack and it should never sit in an agency's account.

Common questions

Which CRM should a small business use?
The one that matches how you sell and that your team will actually open. The platform matters far less than the configuration — a well-configured simple CRM beats a badly configured powerful one every time.
Can we set up a CRM ourselves?
Yes, and plenty do. The parts that reliably go wrong without help are lead routing, automation logic, and integrations between systems that were not designed to talk to each other.
